Rethought the process behind agenda publishing

Hillerød Municipality was about to switch to a new DMS system. As part of the major move, the municipality decided to rethink the process of how agendas and minutes should be published on the municipality's website. The goal was to find a solution that was easy and clear to use for citizens. As an important requirement, citizens should be able to subscribe to important agendas, updates and receive an email when minutes are available.

After an assessment of possible solutions, the choice fell on FirstAgenda Publication. The solution stood out for having features that enabled citizens to subscribe to agendas and minutes from political committees and then print a single document with the relevant information.

The abilityto subscribe makes it easier for individuals to keep track of upcoming meetings and important decisions. It's a feature we've always been happy with.

Easy integration with municipal systems ensured simple workflow

Prior to the change of DMS system, Hillerød Municipality had implemented FirstAgenda Prepare , which is used to collect meeting documents and prepare agendas. Since FirstAgenda Publication is fully integrated with FirstAgenda Prepare , Hillerød Municipality could easily manage the preparation of agendas, hold the meeting and subsequently send out the minutes. At the same time, the municipality ensured that any changes to agendas and minutes were automatically changed on the website when they were changed in Publication.

This was the beginning of a collaborative effort to implement Publication as quickly and smoothly as possible.

"We have had a good collaboration with FirstAgenda throughout the entire process, and the process of implementing Publication has been easy and smooth." says Bente Jensen, Legal Consultant at Hillerød Municipality. This has resulted in a solution that works well with the municipality's existing systems and has been met with positive feedback from citizens.
