Agile implementation powered our agenda publishing

Esbjerg Municipality wanted a simple and efficient digitalization of their agenda publishing that could also work in conjunction with their existing systems. A smooth and efficient collaboration process ensured this became a reality.

Working with minutes is often a laborious process characterized by countless manual workflows, which was a recognizable situation in Esbjerg Municipality. Here, employees were frustrated with the amount of work involved when posting minutes. The process took a long time and required the person in charge to remember all activities throughout the workflow. Since the municipality was also implementing a new website, digitization of agenda publishing was required.

Familiarity with solution streamlines process

Esbjerg Municipality was already using FirstAgenda Prepare to plan and manage meetings, and since FirstAgenda's agenda publishing tool FirstAgenda Publication could be easily integrated with the solution, it was not far from need to first meeting with FirstAgenda. Here, Publication was presented to representatives from the municipality, and an effective collaboration on the implementation process was subsequently established between the municipality and FirstAgenda.

"The presentation was very straightforward, and we could quickly see that many of our needs were answered in the solution. FirstAgenda immediately introduced the project manager, and then it really just took off to start the implementation," says Martin Vinter, digitalization consultant at Esbjerg Municipality.

Successful implementation ensures efficient journaling

After the start-up period was well underway and the use of the solution had been integrated into daily operations, the municipality began to identify a specific issue that was unique to their daily workflows and therefore not standard in FirstAgenda Publication. This was a desire to be able to customize the publishing time of agenda notifications to facilitate subsequent journaling.

"It has definitely been an agile process from start to finish. It didn't take long from the moment we asked about the possibility of the new feature until FirstAgenda started working to support our needs," says Martin Vinter.

In the daily workflow, FirstAgenda Publication has eliminated several manual processes, thereby reducing the number of annoying moments in the publishing of agendas. The efficient implementation of the solution in the municipality's workflows has given the people in charge a boost, and according to Martin Vinter, the aim is to incorporate a larger number of processes in the near future.

"Publication has energized many of our work processes and eliminated a lot of internal hassle," concludes Martin Vinter.
