Management provides digital meeting management

Years ago, employees in Region H used to create their agendas in a large word document. It was a time-consuming process that often involved a complete revision of the document if even a single item needed to be changed.

"We were cutting and pasting our agendas in Word at the time, but then FirstAgenda Management came along, which the politicians in the Capital Region of Denmark thought was smart. However, we needed a system that could display the meetings on the politicians' iPads, and since FirstAgenda Management is seamlessly integrated with FirstAgenda Prepare, it was a quick decision. Management met our requirements and could be implemented within our short deadline," says Lena Fredensborg, Committee Secretary in the Capital Region of Denmark.

Features and integrations for full digital meeting management 

The daily work of meeting planning has received a major makeover since FirstAgenda Management, Workzone and FirstAgenda Prepare have been connected in the region.

"It's simple to create, delete and restore meetings in Management, and it only gets better the more colleagues we connect to the solution. We have also created meeting templates through Management so that more of our users can quickly start booking new meetings," says Lena Fredensborg.

"The integrations to multiple systems are great to have, as we use Workzone and FirstAgenda Peprare in our company and Management is connected to them. In fact, I would almost say it's a must have. There is flow all the way through the different systems, and it's almost an entire product suite when they work together like this," elaborates Birger Rytcher Andersen, Project Manager at Region H.

The development of the solution aligns with the region 

The actual implementation looked very different back then than it does today, as Region H was one of the first customers to use Agenda Management. Back then, it was a custom-built system for individual customers, but since then it has been developed into a standalone subscription solution.

"It has been an excellent collaboration with FirstAgenda, both then and now. It has definitely also been an advantage for us that it has now become a product with a life of its own that is continuously updated. The system is relatively simple and easy to upgrade when new versions are released," explains Birger Rytcher Andersen, IT Manager in Region H.

"We worked very closely with FirstAgenda and they did a great job of powering our workflows. At the time, we tried to squeeze our existing workflows into the solution. It probably wasn't the best decision, but we were a bit tied up at our end. Now, however, we need to upgrade, as new meetings are constantly being produced and the solution is as much in use as it is," concludes Lena Fredensborg.

The continued collaboration between the Region and FirstAgenda benefits both parties, as Region H has played a major role in the development of essential features that many new customers can now benefit from. In addition, they have also been "first in line" to have their input heard, as they have remained loyal to the solution over the long period of time.

Be clear, be confident and don't overthink it. The beauty of your story is that it's going to continue to evolve and your site can evolve with it. Your goal should be to make it feel right for right now. Later will take care of itself. It always does.
