How to run town hall meetings digitally

In the time after the corona pandemic, Gladsaxe Municipality needed a solution that could support the city council meetings, thus the many physical challenges. With the implementation of FirstAgenda Live, they could run their meetings easy and secure from the home office, and at the same time, they have a tool that can be brought with them back to the town hall.

A helping hand through the internet

When the corona crisis tied the citizens to their home offices, it became clear to Gladsaxe Municipality that they had to act fast and find an alternative way to run the city council meetings. It was necessary to meet even though the pandemic was at its highest and, therefore, an emergency solution had to be formed.

"We started by running our meetings through Microsoft Teams where we requested to speak via the chat function. But it was not always ideal because the order was difficult to keep track of. The polls were also difficult to run since we could not have the picture of each member on the screen in Teams at the same time", Tina Boldt from Gladsaxa Municipality says.

When FirstAgenda offered the solution, FirstAgenda Live, to us for free for three months, it was exactly to comprehend these challenges, and the municipality was quick at accepting. 

"The different functions are very appealing, especially the speaker list that looked similar to the one we used in the town hall. Also, digital voting keeps track of all the polls and the different members. FirstAgenda managed to set up the entire system in just half a day, and after a few hours looking around in the system, we had already set up a meeting for the coming day", Tina Boldt explains.

Less administrative work

After Tina Boldt had used the solution for a while sho could clearly point out the advantages of using FirstAgenda Live.

"We can follow along on the big screen and, generally, there is a good and secure overview of everything from the entire speaker list to polls. It is easier to rely on the individual votes when the participants only need to press a single button to vote. Before, they had to put their hand in the air. If a participant has a suggestion that needs to be taken care of during the meeting, they can upload them beforehand and place them in FirstAgenda Live or upload them during the meeting. As an administrator, this is simply genius", Tina Boldt explains.

however, the functions have not been at the expense of user-friendliness, and Tina Boldt point out that the system is simple to use:

"It has been quite a surprise how fast we could implement the system without trouble. It is easy to explain how the different users should use the system in the best way possible and simple to go to".

The future of running a meeting

The future is uncertain due to the corona pandemic and its consequences. When it comes to virtual and physical meetings, Tine Boldt is certain that solutions such as FirstAgenda Live will be essential. 

"FirstAgenda Live is a great replacement for our current system and especially because we used to be dependent on microphones and buttons for every participant. The solution from FirstAgenda Live can be attached to our current system and is portable. We would, of course, prefer to run the meetings physical when the pandemic is over, but this system can easily go back to the city hall with us", Tina Boldt ends.

An important part of FirstAgenda Live is the support of the big screens in the town hall that helps with the overall overview in regards to polls, current debates, and the speaker list.
